Orange Cap Media collects the information a visitor or prospective client chooses to provide through website enquiry forms, contact forms, consultation requests, email, telephone, WhatsApp or other communications. Typical enquiry fields may include the person's name, organisation, designation, contact details, service interest, project description and other information relevant to evaluating a business enquiry.

Where a person submits an enquiry, Orange Cap Media may use the contact information provided to acknowledge the request, seek clarification, schedule calls or meetings, prepare quotations or proposals and communicate about the specific request or prospective engagement. This use is reasonably connected to the enquiry and does not require a separate promotional consent merely because the communication is follow-up in nature.

An enquiry about Orange Cap Media's services should not be treated as unlimited consent to receive unrelated newsletters, promotional campaigns or cold sales outreach. Where Orange Cap Media wishes to send promotional or marketing messages that are not reasonably connected with the enquiry and consent is required under applicable law, the marketing choice should be separately identifiable and optional. Refusing optional marketing should not prevent the person from submitting a genuine business enquiry or receiving the requested follow-up.

For a standard website enquiry form, Orange Cap Media should use plain-language notice stating, for example: 'We process the information you submit in this form to respond to your enquiry, understand your business requirement and communicate with you about your request. If you choose to receive promotional updates, you may tick the optional box below.' An optional checkbox should then be used for marketing consent where applicable.

A person may withdraw previously given marketing consent by writing to privacy@orangecapmedia.com or using the unsubscribe facility included in a promotional message. Where consent is withdrawn, Orange Cap Media will suppress further optional promotional communication within a reasonable period and maintain suppression records as appropriate.
